The short version. We collect the details you type into our forms. We never sell them. We only pass them to a vendor or partner when you tick a box asking us to. You can unsubscribe at any time, and you can ask for a copy of your data or for it to be deleted.
Who we are
AdoptionStack ("we", "us") is an independent directory and blog about digital adoption, product onboarding and customer education software, operated by AdoptionStack. We decide how your personal data is used, which makes us the data controller (the "data fiduciary" under India's data protection law). Information we collect
Information you give us
- Newsletter sign-ups: your email address and where on the site you signed up.
- Template and toolkit downloads: your name, work email, company, role, company size, which resource you downloaded, whether you opted in to the newsletter and, for co-branded resources, whether you agreed to be contacted by the sponsor. Your browser also remembers that you have filled in the form so you are not asked again.
- Reviews: your name, work email, job title, company, company size, LinkedIn profile if you give it, and your review. We use these to verify you and publish the review. We publish only your first name, last initial, job title and company size alongside your review, never your email or company name.
- Implementation partner requests: your name, work email, company, job title and project details.
- Expert interview and case study applications: your name, work email, job title, company, LinkedIn profile and the details you include.
- Tool submissions, advertising enquiries and partner applications: your name, work email, company and the details you include in the form.
- Privacy requests and emails you send us: your contact details and what you ask us.
Information collected automatically
- Server logs: our hosting and infrastructure providers record standard technical data such as IP address, browser type and pages requested, to keep the site secure and working.
- Preferences stored on your device: we save your colour theme, directory layout and, if you downloaded a resource, the details you entered, in your browser's local storage so you are not asked again. This stays on your device; you can clear it in your browser settings.
- Analytics: We use Google Analytics 4 to understand how visitors use the site, but only after you accept analytics cookies in our cookie banner. Google Analytics sets cookies and processes data such as pages viewed, approximate location and device information. You can change your choice at any time using the "Cookie settings" link in the footer.
How we use your information
- To send the newsletter you asked for.
- To deliver downloads, understand which resources are useful and, if you opted in, tell you about related resources.
- To reply to enquiries, review tool submissions and applications, and arrange interviews and case studies.
- To verify and publish reviews.
- To introduce you to a partner or sponsor, only when you ask us to (see below).
- To operate, secure and improve the website, and to meet legal obligations.
When you send a form, our team gets an email notification with your details so they can reply. If we send you an automatic confirmation, it is a one-off email about your request.
When we share your details with vendors and partners
We do not sell your personal data, and we do not give vendors listed in the directory access to our newsletter list, review contact details or download records. We share your details with another company only in these cases, and only after you agree by ticking a box on the form:
- Implementation partner requests: if you ask for help with a project and agree, we share your request with up to three implementation partners who fit, so they can contact you.
- Co-branded resources: some templates and reports are made with a vendor, and the download form says so. If you tick the box to be contacted by that sponsor, we share your name, work email, company, role and company size with them. If you leave it unticked, the sponsor gets nothing.
- Vendor contact requests: where a tool profile offers a form to ask that vendor for a demo or call, we send your details only to that vendor, and only when you submit the form and agree.
Once shared, the partner or vendor uses your details under its own privacy policy and becomes responsible for them. You can withdraw your consent at any time on our privacy choices page. We will stop any further sharing and tell you who received your details, so you can ask them to delete their copy too.
We may also disclose data if the law requires it, or to a buyer of our business, who would have to respect this policy.
Service providers we use
These companies process data on our behalf, under contracts that only let them use it to provide their service to us:
- Vercel: hosts the website pages.
- Supabase: stores the database of form submissions, newsletter sign-ups and reviews.
- Cloudflare: stores images and downloadable files, runs our behind-the-scenes services and sends our emails through our mail server.
- Our email provider: delivers notification and newsletter emails. If we start using a dedicated newsletter service, we will name it here.
- Google Analytics: measures how the site is used, only if you accept analytics cookies.
Some of these providers process data in the United States and other countries. Where the law requires it, transfers are protected by safeguards such as the European Commission's standard contractual clauses.
Legal bases (EU and UK visitors)
We rely on your consent for the newsletter, for sharing your details with partners or sponsors, and for any analytics cookies. We rely on our legitimate interests to run and secure the site, reply to enquiries and understand which resources are used. We rely on legal obligation where the law requires us to keep records. You can withdraw consent at any time without affecting what happened before.
Cookies
We only set analytics cookies after you consent. Essential storage, such as your theme preference, does not require consent.
Links to other websites
Tool profiles link to vendors' websites, and those links may include tracking parameters (such as utm_source=adoptionstack) so vendors can see that you came from us. Once you leave our site, the vendor's own privacy policy applies.
How long we keep data
- Newsletter: until you unsubscribe. We then keep your address marked as unsubscribed so we never email you by mistake, unless you ask us to delete it completely.
- Enquiries, applications and download records: up to 24 months after our last contact with you.
- Reviews: while the review is published, and up to 24 months after it is removed.
- Privacy requests: a record of the request and how we handled it, for up to 24 months.
- Server logs: according to our providers' standard retention, typically a few weeks.
Your rights and choices
Depending on where you live, including under the GDPR, the UK GDPR, India's Digital Personal Data Protection Act and US state laws such as California's, you may have the right to:
- get a copy of the personal data we hold about you;
- correct data that is wrong or incomplete;
- have your data deleted;
- withdraw consent, including consent to share your details with partners or sponsors;
- object to or restrict how we use your data, and receive it in a portable format;
- nominate someone to exercise these rights for you (India), and complain to a data protection authority.
How to use them:
- Unsubscribe: click "Unsubscribe" at the bottom of any newsletter email, or visit our unsubscribe page.
- Everything else: use our privacy choices page, or email contact@aikaptan.com.
We reply within one month. To protect your data, we may ask you to confirm the request from the email address it concerns before we send or delete anything. Using your rights is free.
Security
The site and all our services use HTTPS. Personal data is stored in a database that only signed-in members of our team can read, and each team member can only open the sections they need. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information. If a breach affects your data, we will notify you and the authorities where the law requires it.
Children
AdoptionStack is intended for business users and is not directed at children under 18. We do not knowingly collect their personal data. If you believe a child has given us data, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. Significant changes will be highlighted on the site or in the newsletter.
