When an implementation partner pays off

Many teams roll out simpler tools themselves. A partner is usually worth it in these situations.

Large or complex rollouts

Several applications, thousands of users or heavily customised systems such as SAP, Salesforce or Workday.

Tight deadlines

A go-live date that your internal team cannot hit alone while doing their day jobs.

No in-house expertise

Nobody on the team has built walkthroughs, academies or adoption analytics before.

A stalled programme

You bought the tool, but usage is low and content is out of date.

What to expect

What a partner typically does

Most implementation projects follow five phases. A good partner leaves your team able to run the platform on its own.

  1. Discovery

Map the processes, users and pain points that matter most, and agree success metrics.

  2. Setup and integration

Install the platform, connect single sign-on and user data, and configure targeting.

  3. Content build

Create walkthroughs, tooltips, courses or guides for the priority workflows.

  4. Pilot and launch

Test with a small group, fix issues, then roll out with a communication plan.

  5. Measure and improve

Track adoption, update content after releases and hand over to your team.

Choosing a partner

8 questions to ask before you hire

Use these in your first call. Strong partners answer them with specifics, names and numbers.

  1. How many projects have you delivered on this exact platform, and can we speak to one of those clients?
  2. Who will actually do the work, and will they stay on the project until go-live?
  3. How do you measure success, and what results did similar clients see?
  4. How do you keep content up to date after the underlying software changes?
  5. What do you need from our team, and how many hours a week?
  6. Do you have a commercial relationship with the software vendor?
  7. How do you hand over so we are not dependent on you forever?
  8. How do you price: fixed fee, time and materials, or a monthly retainer?
Budgeting

What affects the cost

Partners price by fixed fee, time and materials or monthly retainer. These factors drive the size of the quote.

Number of applications

Each system you guide users through adds setup and content work.

Number of workflows

Ten critical processes cost far less to cover than a hundred.

Languages and regions

Translation and local rollout plans add time.

Integrations and data

Connecting SSO, HR or CRM data for targeting and analytics.

Change management scope

Training, communications and stakeholder work beyond the tool itself.

Ongoing support

A one-off project versus a managed service after go-live.

Build your business case

Estimate the value of a rollout with our adoption ROI calculator and plan it with the 30-60-90 day rollout plan.

FAQ

Questions about implementation partners

What is an implementation partner?

An implementation partner is a consultancy or freelancer that helps you set up and roll out software: configuring the platform, building content, training users and measuring adoption. Many software vendors also have their own professional services teams.

Is it free to get matched with a partner?

Yes. Requests are free for buyers. We review your needs and introduce you to up to three partners who fit, only with your agreement.

Do you get paid for introductions?

We may agree referral fees with some partners. If a fee applies to an introduction we make for you, we will tell you before we introduce you, and it never changes who we recommend.

Should we use the vendor’s own services team or a partner?

Vendor services teams know their product best. Independent partners often bring broader change management experience, work across several tools and can be more flexible on price. Many organisations compare both.

How are partners vetted?

We check each partner’s website and services, ask for at least one client reference or public case study, and record any official vendor partnerships so we can disclose them.
